Privacy Notice
Last updated October 14, 2026.
This notice explains what The Family File LLC, an Ohio limited liability company ("we" or "us"), keeps about you, why, who helps us, and the choices you have. It covers the app at app.getfamilyfile.com and our public page at getfamilyfile.com.
The short version
- Your file is private. You decide who sees it.
- We record where things are kept, never Social Security, account or card numbers, passwords or PINs.
- We don't sell your information. We don't use it for advertising. There are no ads or third-party trackers on any page that can show your file.
- A few companies help us run The Family File. They get only what they need to do their job for us.
- You can download your file at any time, and ask us to delete it.
What we keep
About you. Your email address, the name you give us, and the date you confirmed you're 18 or older and live in the United States.
Your file. What you write in its 12 sections.
Health details, only if you choose. See "Health details" below.
People you name. For your executors: their name, email, phone and how they're related to you. For view-only links: the label you give each link. Please let people know before you add them.
Your second lock. The setup for your authenticator app. If face or fingerprint sign-in is turned on, we keep only a public key from your device. Your face or fingerprint itself never leaves your device.
An activity record. Who did what and when: sign-ins and failed sign-ins, links made or turned off, downloads, executor requests, and uses of SI. Each entry has the time and the internet address (IP address) it came from. It never includes what's in your file.
Agreement records. Which version of an agreement you accepted, when, your IP address and your browser type.
SI records. That a suggestion was made, and whether you accepted, edited or dismissed it. Not the words. We don't keep your conversations with SI on our servers.
Messages you send us. If you email us, we keep the email.
Waitlist. If you join the waitlist at getfamilyfile.com, we keep your email address, and whether you asked to join the beta. If you ask to join the beta, our sign-in service also sends you a sign-up email with a code. If you use it, you have an account, covered by the rest of this notice.
What we never ask for: Social Security numbers, full account or card numbers, passwords, PINs or security answers. The app turns away obvious ones. We don't buy information about you from anyone.
Cookies and your browser
The app uses only the cookies it needs to keep you signed in. They end when you close your browser. Your browser also remembers a few settings on your device, such as text size, whether pages are read aloud, and when you were last active (so we can sign you out after 30 minutes). We use no advertising or tracking cookies.
How we use it
- To run The Family File for you and the people you share it with.
- To keep it secure: to spot and stop break-ins and misuse.
- To send emails you need: sign-in codes, warnings when an executor asks to open your file, and other notices about your account.
- Near the end of your first year, to send one email offering a renewal.
- To answer you, and to fix and improve the beta from your feedback.
- To follow the law.
We don't sell your information. We don't use it for advertising, or share it with anyone for their own marketing. We don't use your file to train computer models.
Who can see your file
- You.
- People you share with. Anyone who has a view-only link you made, until you turn it off or it expires.
- Your executors, only after an executor's request and the 7-day wait you can cancel (see our Beta Tester Agreement).
- Us: we don't read your file. We would open it only if you ask us in writing to help with a problem, or if the law requires it.
Companies that help us
These companies store or handle information for us. They may use it only to provide their service to us.
- Supabase runs our database and sign-in. It stores your account and your file, in the United States.
- Vercel hosts the app. Your information passes through its servers when you use the app.
- Resend sends our emails. It handles your email address and the email we send you, such as sign-in codes and notices.
- Anthropic runs SI. Only when you use SI, our server sends Anthropic what you type to SI and the section you're working on (its questions and what you've already written in that section). Not the rest of your file. If you use SI in the Health section after adding health details, those details are part of what's sent.
- Cloudflare runs our domain names and our public page at getfamilyfile.com, including a quick check on the sign-up box that visitors are people, not robots (Turnstile).
- ElevenLabs made the "Read this to me" recordings, ahead of time, from the app's own wording. It never receives anything you type, and it isn't contacted when you use the app.
We don't take payments during the beta. If we do later, payment details will go to our payment company, never to us, and we'll update this notice first.
We may also share information if the law requires it (for example, a valid court order), to protect someone's safety, or with a company that takes over The Family File and keeps the promises in this notice.
Health details
What. In the Health section, you can choose to add blood type, current conditions, medications and where they're kept, allergies, and past treatments or surgeries. These stay hidden until you give a separate consent. (Your doctors, directives and similar entries in that section don't need it, and are protected the same way.)
Why. So your family, a caregiver or a doctor knows what matters in an emergency.
Who can see them. You, people you share your file with, and your executors once your file opens. SI sees them only if you ask it for help in the Health section, as explained above. We never sell them, use them for advertising, or share them with anyone else, unless the law requires it.
How they're protected. They are encrypted before they're stored, as described below.
We're not a health care provider. We're not a doctor, hospital or health plan, and the federal health privacy law called HIPAA doesn't apply to us. We protect these details as this notice describes.
Changing your mind. You can clear any health detail at any time. To remove them all and withdraw your consent, email hello@getfamilyfile.com and we'll do it within 30 days.
How we protect it
- Two-step sign-in: a code by email, plus a second lock on your phone or computer.
- Walls between files: the database itself keeps each person's file apart, and our server checks who you are before every read, change, download, share and SI request.
- Extra encryption for the most sensitive parts (health, wishes, what you own and owe, insurance, and your executors' details), with the keys kept apart from the database. A copy of the database alone can't unlock them.
- Secure connections only (HTTPS).
- Automatic sign-out after 30 minutes without activity, and when you close your browser.
- No third-party scripts on pages that can show your file.
No system is perfectly secure, and we can't promise that no one will ever get in without permission. If something happens that puts your information at risk, we'll tell you promptly and as the law requires.
How long we keep it
- Your file: as long as you have an account. We never delete a quiet file on our own.
- If you ask us to delete it: within 30 days. Our backups roll over after about 8 days, so it leaves them soon after.
- The activity record: 1 year.
- Agreement records: as long as your account exists.
- Waitlist: we use your email only to send one email when we launch, and, if you asked to join the beta, the sign-up email. Ask us to remove it any time, or use the unsubscribe link. We delete the whole waitlist 90 days after the launch email goes out.
Your choices
- See it and keep a copy: open your file and download it as a PDF any time.
- Correct it: change anything in your file yourself.
- Delete it: email hello@getfamilyfile.com from the address you sign in with. We'll delete your file and account within 30 days.
- Stop sharing: turn off any view-only link, or remove an executor, at any time.
- Say no to an executor's request: cancel it at any time.
Some states give you more privacy rights. We offer the choices above to everyone, wherever you live. If you ask, we'll answer within 30 days.
Adults only
The Family File is for people 18 and older. Your file may mention your children or grandchildren; that's information you add about your family. If we learn a child under 18 has made an account, we'll delete it.
About other people in your file
Your file will mention other people, such as family, doctors and advisors. Please include only what you'd be comfortable with your family seeing.
Where your information is kept
In the United States.
